PAYMENT & CANCELLATION POLICY

Crown & Palm Bespoke Travel LLC

Total Payment:

The full payment for your trip is due before the scheduled departure date (the “Payment Due Date”). Your payment schedule may vary depending on the selected getaway, and you will be informed of the exact deadlines upon booking. If full payment is not received by the Payment Due Date, Crown & Palm Bespoke Travel LLC reserves the right to cancel your booking. In such cases, you will forfeit your deposit and any payments made up to that point. All payments are non-refundable and non-transferable to another trip or experience.

Deposit:

All deposits and payments made toward your trip are non-refundable. However, your payments are protected when canceling, allowing you to hold your payments as a credit or transfer them to a future trip of your choice. Deposits cannot be transferred to another getaway or trip.

Payments Made After Deposit:

Cancellations made between 60 and 30 days before departure will incur a 50% cancellation fee of the total amount paid after the deposit. The remaining 50% balance will be converted into a credit toward a future trip. Cancellations made within 30 days of the departure date will result in a 100% charge of the total amount paid after the deposit, and no credit or refund will be issued.

Late Payments:

Failure to make a scheduled payment within ten days of the agreed payment date is considered a breach of contract and may result in the cancellation of your booking. If multiple payments are missed, Crown & Palm Bespoke Travel LLC reserves the right to assign your spot to the next eligible traveler on the waitlist. If you anticipate a late payment, you must notify us in advance by emailing info@crownandpalm.com. A $30 late fee will apply. Any additional costs related to rebooking or late enrollment will be the responsibility of the traveler.

Cancellation by the Client:

All cancellation requests must be submitted in writing to Crown & Palm Bespoke Travel LLC and acknowledged in writing to be valid. If a client cancels a booking within the notice period specified above, the cancellation policy will apply. All payments, including deposits, are non-refundable and non-transferable between individuals. Clients are strongly encouraged to purchase comprehensive travel insurance, as trip cancellation insurance is the only means of receiving reimbursement for flights and other non-refundable expenses in the event of cancellation for any reason.

Amendments & Rescheduling:

Clients may request to change or reschedule their trip up to 60 days before departure. Any difference in price between the original and new booking will still apply. Trips canceled less than 60 days before departure will be subject to the full cancellation policy. Crown & Palm Bespoke Travel LLC does not issue cash refunds, but eligible travelers may transfer their balance toward a new experience or destination. Private or customized experiences may be subject to additional fees depending on accommodations and services included.

Credit Balances:

Clients who cancel a trip at least 60 days before departure will receive a travel credit valid for one year from the cancellation date. Travel credits cannot be converted into cash refunds and must be applied toward a future trip within the validity period.

Installment Transfer Option:

Clients may request to have their installment payments applied to another participant’s registration for the same getaway, provided that the transfer is completed before the Payment Due Date. The original client is responsible for finding a replacement participant. The new traveler must sign a cancellation waiver and liability agreement to complete the transfer process.

Transfer Cancellation Admin Fee:

If a client transfers their trip to another traveler, a transfer administration fee equal to the deposit amount will be applied. The new participant must sign a new cancellation waiver and payment authorization agreement before the transfer is finalized.

Refunds:

Cancellations are permitted at any time, but all deposits and payments are non-refundable. Payments made toward the balance of a trip are non-refundable seven days after the payment is processed, including installment payments and late fees.

Exceptions:

The only exception to this policy is if the trip is canceled in its entirety by Crown & Palm Bespoke Travel LLC. In this case, clients will be notified via email with refund instructions. If a trip is canceled due to force majeure events such as natural disasters, political unrest, or pandemic-related travel bans, credits or rescheduling options may be provided instead of refunds.

Unforeseen Circumstances & Travel Insurance:

Travel insurance is highly recommended to protect your investment in case of unexpected disruptions, cancellations, or emergencies. Crown & Palm Bespoke Travel LLC is not responsible for incidental expenses or financial losses resulting from trip cancellations, including visa denials, vaccination or health-related entry restrictions, non-refundable flights or transportation costs, non-refundable accommodations or parking fees, lost wages, or loss of enjoyment. Clients purchasing any travel package or service are strongly encouraged to purchase comprehensive travel insurance covering cancellations, medical emergencies, and unexpected losses.

Why Are Payments Non-Refundable? Crown & Palm Bespoke Travel LLC works with partner vendors, including hotels, tour operators, and experience providers, who require upfront commitments from us to secure reservations, accommodations, and exclusive experiences. Once a booking is confirmed, we are financially committed to delivering your experience regardless of your personal circumstances. To maintain the integrity of our curated travel packages, we do not issue refunds for canceled trips, and all payments are applied toward securing accommodations, excursions, and services.

Unused Services: Crown & Palm Bespoke Travel LLC does not provide refunds or discounts for missed or unused services if the client fails to participate due to personal scheduling conflicts, missed flights or delays, late arrivals, early departures, traveler negligence, or breach of these terms. If a traveler’s participation in the tour is terminated due to violations of local laws, disruptive behavior, or failure to comply with Crown & Palm Bespoke Travel LLC policies, no refunds or travel credits will be issued.
